The course in one example

Scattered tasks become a repeatable workflow with human checkpoints.

Capture a process that lives in one person’s head, turn it into a written procedure, add validation checks and make it repeatable.

  1. Disconnected steps

    • Pull numbers from 3 sheets
    • “Sam checks totals”
    • Sent by the 5th, usually
    • Only Sam knows how
  2. Documented workflow

    1. Export the three sheets
    2. Combine and convert currency
    3. Reconcile totals
    4. Summarise for leadership
  3. Human checkpoints

    • Person checks totals vs source (Checked)
    • Person confirms currency (Checked)
    • Reviewer signs off before send (Checked)
    • Backup owner named (Action needed)
  4. Repeatable practice

    Monthly report · SOP v1

    • Owner + named backup
    • Runs the same way each month
    • Anyone trained can run it

Illustrative example A prepared demonstration of the workflow you learn. It is not live AI output, and the names and figures are examples.

Who it's for

Operations, administration, finance and project staff who run recurring processes and reports.

Experience needed: Some everyday use of ChatGPT or Claude. New users should start with a Foundations course.

Problems it solves

If this sounds familiar

  • Processes that live in one person's head
  • Monthly reports that take too long and contain avoidable errors
  • Repetitive steps nobody has time to fix
  • Figures that can't be traced back to their source

Outcomes

By the end you can

  • Turn a rough process description into a standard operating procedure
  • Design a reporting workflow with clear checks
  • Summarise data and explain what changed
  • Write handover notes so work isn't stuck with one person
  • Spot steps worth automating, and those that aren't
  • Keep figures traceable to their source

Modules

How the day runs

4 modules, taught live with hands-on practice in each. Select a module to see its topics.

  4. 04Quality and safe use

1Process documentation

4 topics
  • Capturing how work is actually done
  • Structuring a standard operating procedure
  • Writing for the person who has never done the task
  • Keeping procedures current

2Reporting workflows

4 topics
  • Summaries and variance explanations
  • Designing checks into every report
  • Working with spreadsheets: what to verify yourself
  • Templates for recurring reports

3Repeatable workflows

  • When automation tools are the better answer

4Quality and safe use

3 topics
  • Verifying calculations and totals
  • Financial and personal data rules
  • Second-person review that doesn't slow things down

Practical exercises

What you practise

  1. Exercise 1

    Procedure from rough notes

Turn a description of a real process into a numbered procedure with owners and checks.

  2. Exercise 2

    Reporting workflow

Design the steps, prompts and checks for one recurring report.

  3. Exercise 3

    Variance explanation

Explain what changed in a sample dataset, then verify every figure.

  4. Exercise 4

    Handover notes

Write the notes a backup person needs to run your process next month.

Platform and delivery

Where you learn

ChatGPT or Claude

Taught on ChatGPT or Claude: each group uses the platform its organisation provides. Tell us which when you register interest, and we'll confirm the delivery option.

Requirements

Before you come

Account

A laptop with a current browser and a stable internet connection, plus two or three non-confidential documents from your own work.

Experience

Some everyday use of ChatGPT or Claude. New users should start with a Foundations course.

Data

Use only non-confidential material in exercises. We show you how to check your organisation's AI policy and what not to paste into an assistant.

Questions

Before you register

Will we automate our processes in this course?

The course focuses on documenting, reporting and simplifying work with ChatGPT or Claude. Building automations with other tools is covered in our AI services, starting with a discovery workshop.

Can AI do our calculations?

It can help explain and check data, but figures should always be traced back to the source. The course teaches how to verify them.

Can we bring our own processes?

Yes, as long as they're not confidential. Private team sessions use your real processes and reports.
